Artist Database Privacy Notice

This notice explains how The Rameshwar Prem Foundation collects, uses, reviews and protects information submitted through its Artist and Institutional Database.

1. Scope of this notice

This notice applies to professional information submitted through the TRPF Artist and Institutional Database registration form, including information submitted by individual artists, collectives, researchers, educators and cultural institutions.

2. Information collected

Depending on what the applicant chooses to provide, TRPF may collect:

  • Name, professional name, applicant type and artistic disciplines.
  • City, state, country, professional email address and telephone number.
  • Institutional affiliation, website, social-media and portfolio links.
  • Professional biography, qualifications, projects, publications, awards and collaboration interests.
  • An optional professional résumé or curriculum vitae uploaded as a PDF file.
  • Registration source, referring institution and preferred communication language.
  • Database consent, newsletter consent, consent date and notice version.
  • Limited technical security information used to detect abuse and protect the form.

3. Information applicants should not submit

Applicants should not submit passwords, bank details, government identification numbers, confidential contracts, medical information or other sensitive personal information through the public registration form, an uploaded PDF résumé or publicly accessible portfolio links.

4. How TRPF uses the information

TRPF may use submitted information to:

  • Review and administer Artist Database registrations.
  • Identify artists, institutions or cultural workers for relevant programmes and collaborations.
  • Contact applicants about exhibitions, performances, workshops, research, archives, publications and public programmes.
  • Maintain cultural documentation and internal professional records.
  • Prepare approved programme materials, directories or publications.
  • Send ArtBeatTRPF and cultural updates only where optional newsletter consent has been given.
  • Protect the website, prevent spam and investigate misuse of the registration system.

5. Review and public use

Registration does not guarantee approval, selection, funding, exhibition, publication, employment or collaboration. TRPF reviews submissions before approving them for its database.

Professional information may be used in programme-related materials where appropriate. Personal telephone numbers and private email addresses will not be intentionally published as public contact information without additional permission or a clear professional reason agreed with the applicant.

6. Newsletter consent

Newsletter consent is optional and separate from Artist Database consent. An applicant may remain in the Artist Database without subscribing to the newsletter. Newsletter consent may be withdrawn at any time by contacting TRPF and quoting the registration number.

7. Sharing of information

TRPF does not sell Artist Database contact information. Information may be shared only where reasonably necessary for Foundation administration, technical website support, an agreed programme or institutional collaboration, protection of TRPF systems, or compliance with a lawful requirement. TRPF will seek to limit any sharing to the information required for that purpose.

8. Storage and security

Information is stored in TRPF-controlled administrative systems and is accessible only to authorised persons who require it for Foundation work. TRPF uses access controls and reasonable technical and administrative safeguards. No internet-based system can be guaranteed to be completely secure.

9. Retention

TRPF retains registration information while it remains relevant to the Artist Database, programme administration, cultural documentation or legitimate organisational records. Information may be corrected, archived, anonymised or removed when it is no longer required, when consent is withdrawn, or following a valid removal request, subject to necessary administrative and legal record-keeping.

10. Access, correction, withdrawal and removal

An applicant may request access to their submitted information, correction of inaccurate information, withdrawal from the Artist Database, newsletter unsubscribe or removal of information. The request should be sent from the registered email address wherever possible and should include the TRPF registration number.

11. Applicants under 18 years of age

The online form is intended primarily for adult applicants and authorised institutional representatives. A person under 18 should not submit the form independently. A parent or legal guardian should contact TRPF before submitting information on behalf of a minor.

12. Changes to this notice

TRPF may update this notice when its programmes, systems or information practices change. The current version and effective date will be displayed on this page. Existing consent records retain the notice version shown at the time of submission.
